

The Provincial Historical Archive of Villa Clara, is the entity of the Science, Technological Innovation and Environment System, which methodologically directs the Document Management policy in the territory. It essentially, treasures, preserves, processes and disseminates the documentary memory that constitutes the nation’s historical legacy. That is for the provision of services to society, by professionals specialized in archival activity.
The Provincial Historical Archive of Villa Clara achieves the safeguarding of the historical and contemporary documentary heritage, for the diversification of scientific-technical services with quality and the dissemination of documentary heritage that it treasures according to society.
According to Resolution No. 527 dated December 29, 2009 of the Minister of Economy and Planning, the corporate purpose is as follows:
- Treasure, organize, guard, preserve and disseminate documentation of historical or permanent value corresponding to its territory.
- Coordinate and control the operation of the file system of its territory.
- Coordinate the training and development of human resources in the file system of their territory.
- Put the information of its funds and collections at the service of the public, with the prior written request of the interested party and authorization by the director of the corresponding archive.
- Provide reference services and selective dissemination of information to Cuban natural and legal persons in Cuban pesos and foreign persons in convertible pesos.
- Offer advisory, consulting, and organizational services, both in terms of archives and preservation of documentary heritage, to Cuban organizations, institutions or organizations in Cuban pesos and to foreign legal entities in convertible pesos.
- Offer document restoration and binding services.
Services
The consultation and reference service is one of the main tasks carried out in the archives, where archivists instruct and help users in the search and pertinent choice of the materials that are required. It consists of personal assistance to the user in the search for information. May include referral to other Information Centers.
This service consists of the preparation and delivery of a set of documents, ordered and evaluated, located in different funds, collections and existing databases in the institution or in other documentary sources, attending to a user’s need for information about a specific topic. It is executed upon request for a value of 35.00 CUP.
Going through documentary and archival management in the business sector and in state entities in general, aims to be a renovating consideration of the Provincial Historical Archive of Villa Clara, in accordance with the legal framework provided by Decree Law 265/2009 of the State Council of the Republic of Cuba. In this sense, it offers advisory, training and training services, aimed at the entities of the Central State Administration (OACEs), promoting knowledge of the theoretical foundations and their characteristics, the structure of the file system for organizations and the treatment documentary in these systems. All this, focused on guaranteeing proper document management that contributes to organizational efficiency.
Timely and precise guidance on Document Management issues to raise the culture of specialists and technicians who attend to said activity in the OACES, APPP and local subordinate entities of the territory. It is managed by the interested party and the execution time of the activity should not exceed three hours. It is provided free of charge.
Generic name for all image reproduction techniques. Set of copying or microcopying procedures performed using any technology and on different media.

It consists of the granting of certifications on information of original documents to natural and legal persons that request it, contained in Notarial Protocols.
Copy of certified notarial deed and certification of notarial deeds.
- The user will provide at the time of the request the notary’s data and the date on which the notarial deed was issued.The AHPVC has 45 business days to carry out the search and deliver the response to the request issued by the user.Price, according to tables.

Approve the provision of services by immediacy, at the request of the interested party and prior agreement between the parties for the services of digitization and certification of documents, for natural and legal persons with permanent residence in the national territory, the additional amount is twenty-five $ ( 25.00) CUP and for natural or legal persons with permanent residence abroad of $ 25.00 CUC.
The differentiated rate of one ($ 1.00) is ratified for Cuban citizens, who are in the category of undergraduate students.
Historians, Cuban citizens, with permanent residence in Cuba, who are retired and carry out non-profit research work, a differentiated rate of one ($ 1.00) CUP.
The certification will be sent to the General Director for his signature and subsequently the Department stamp and stamp of 5.00 MN provided by the user at the time of collection is stamped.
It includes the organization of the internal loan and the institutional loan of documents.
If the consultation is in person, the Consultation Room staff will require the user to present a letter certifying their work or study center, duly signed and coined by the head of the entity, where their name and surname are recorded, services required and the reason for the request, which will be subject to evaluation and approval by the AHPVC Director.
